Hosting Selection Procedures:

General

- The Board of Directors of MANL has the responsibility to promote, review and select the sites for its Annual General Meeting and Conference.

- MANL shall advise inviting prospective hosts to apply for future Conference sites.

- The board shall review all applications to ensure that the Conference host requirements have been met. The applicant shall then be notified as to whether the request has been accepted as the site.


The Applicant

It is MANL’s objective to attract a minimum of 100 delegates.

To ensure that the attendance and quality of the Annual Conference is maintained the following guidelines must be met by the applicant.

Section A - Call For Proposals: Timelines

 

The board of Directors of MANL is accepting proposals from interested parties to co-host its Annual General Meeting and Conference for the beginning of October.

The deadline for proposals is November 30 of the preceding year the applying organization wishes to host a MANL conference. The complete application package (see section B: Proposal Selection) must be received in the MANL office by that date.

 

Section B - Proposal Selection

The Board of Directors of MANL is responsible for the selection of the community which will co-host the annual conference. The selection will be based upon an application which will include all information as requested in these hosting guidelines.

The application must indicate broad support with a clear indication of the ability and commitment by the interested partner to co-host with MANL. The written proposal should address the following areas:

- A letter of invitation from the Mayor of the Municipality and/or the President of the partnering organization.

- A preliminary local arrangements committee with the names of the chair person and other members.

- A clear indication that all site criteria can be satisfied;

- A commitment as to the dates of the conference

- A preliminary budget indicating both the project revenues and expenditures and/or an indication of the level of financial support it can provide;

- A commitment to develop a comprehensive educational program and entertainment, including keynote speakers, in concert with MANL's AGM Committee.


Section C - Site Criteria

The applicant must have the physical ability to host the convention. Based upon the attendance at previous years' conferences the number of full delegates and guests attending the MANL Conference has been about 90-100. All aspects of the site must accommodate both the partners' attendees as well as the MANL delegates. Therefore the minimum criteria are as follows:

Conference facilities which can accommodate the following:

Lobby and foyer space sufficient for registration activities Banquet, meal and social facilities for the minimum number of delegates, partners, volunteers and guests; Accommodation facilities in proximity to the central site with sufficient rooms for delegates and guests at reasonable rates;

Meeting room space for MANL board meetings and/or convention management; All on-site and off-site facilities must be fully accessible.

 

Section D - Conference Organization

Local Arrangement Committee Structures It is expected that the partner(s) will include in its proposal the intention to have a well managed Local Arrangements Committee. Conference liaison to the MANL Board will occur formally through MANL's AGM Committee and MANL's Executive Director.

In the event that there is more than one organization identified as a co-host, each partner would indicate its own level of involvement as members of the Local Arrangements Committee.
